Description Responsibilities: 
Actively models and reinforces the Advertising Department’s vision, mission, and core values with all company employees. 
Understand and communicate departmental and company policies. Develops a thorough knowledge of the Tampa Bay Times, its systems, products, and services. Assists the Tampa Advertising Manager in the development of weekly, monthly, and yearly reports related to sales and operational initiatives as needed.   Manage calendar of Tampa Advertising Manager.  Includes responding to requests, scheduling of meetings and organizing communication. Manage client ticket distribution and oversee suite entertainment for Tampa Advertising Department. 

Coordinates postal & interoffice mail to include daily routing and processing.

 

Maintains report manuals & project notebooks to include continual maintenance (filing, as well as generating/revising documents) of various manual/notebooks.

 

Responsible for ordering all office supplies to include stocking and organizing as well as placing special orders as needed.


Responsible for scheduling and coordinating staffer meetings and special activities by assisting in event details and planning; organizing; preparing reservations/catering; purchases of supplies and awards/gifts, and preparing funding details.

 

Responsible for timely submission of staffer time cards, staffer bonuses, mileage and vacation advances.

 

Responsible for timely routing and submission of adjustments written by sales staff to accounting.

 

Responsible for timely submission of department staffer merit increases, performance evaluations, other staffer action reports as necessary, and status reporting for FMLA, short term disability, etc.


Performs related duties as assigned or required.

  Skill Requirements:

Experience of three to five years in clerical/administrative functions.

 Candidate needs to possess the following: excellent verbal and written communication skills, planning and organizational skills, interpersonal skills, public and employee relation skills, computer skills – knowledge of Microsoft Word, Excel, PowerPoint, and Access plus Lotus Notes, basic math skills, mechanical aptitude. Ability to exercise good judgement and make sound decisions under the pressure of meeting deadlines.
